Who we are
The Easy Rebate ("we", "us") prepares Self Assessment tax returns and tax refund claims. We are the data controller for the personal information described in this policy. You can contact us about anything in it at info@the-easy-rebate.co.uk or on 0115 647 0300.
What we collect
- Contact details you give us through our website form, phone, email or WhatsApp: your name, phone number, email address and message.
- Tax information if you become a client: your National Insurance number, UTR, income and expense records, CIS statements, P45, P60, P11D and bank details for paying your refund.
- Website usage data, only if you accept analytics cookies: pages visited, device type and approximate location, collected by Google Analytics.
Why we use it, and our lawful basis

Who we share it with
We only share your information when we need to: with HMRC to file your return and claim your refund; with our IT, email and hosting providers who process it on our behalf; and with Google if you accept analytics cookies. We never sell your data or use it for third-party marketing.
How long we keep it
Enquiries that don't lead to work are deleted within 12 months. Client tax records are kept for six years after the end of the tax year they relate to, as the law requires, then securely deleted.
International transfers
Some of our providers (for example Google) may process data outside the UK. Where they do, they are covered by UK adequacy regulations or the International Data Transfer Agreement.
Your rights
You can ask us to: give you a copy of your data; correct it; delete it; restrict or object to how we use it; or transfer it to you or another organisation. Where we rely on consent, you can withdraw it at any time. Contact us at info@the-easy-rebate.co.uk. We'll reply within one month.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Keeping your data safe
Our website uses an encrypted (HTTPS) connection. Access to client records is limited to the people who need it to do your work.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
